AI for accounting firms: less chasing, calmer seasons

Tax season is mostly waiting on clients, then sorting what they send. We build AI that asks for the right documents, follows up, and files everything where your preparers expect it.

Sound familiar?

Most of the busy season isn't accounting. It's collecting and sorting.

  • Chasing the same documents

W-2s, 1099s and statements, asked for again and again from every client.

  • Uploads in every format

Photos, screenshots and PDFs named “scan_001” that someone has to open, rename and file.

  • Re-typing numbers

Figures from statements and receipts keyed into your software by hand.

  • “Is my return done?”

Status calls and emails in the weeks you have the least time to answer them.

  • Notices that can't wait

IRS and state letters arrive mixed in with everything else and need to reach the right person fast.

Busy season, step by step

Three example workflows for an accounting firm. Pick one and watch a file go down the line. Your preparers still do the review.

10–20 hoursback a week at an insurance claims firm

That's what our missing-documents agent gives one claims team. It isn't an accounting firm, but the job is the one you face every season: asking clients for documents, checking what comes back and following up until the file is complete.

How we'd start

Every engagement begins with a paid audit. Start a few months before busy season and the first workflow is built and tested in time.

Find where the hours go

1–2 weeks · from $500, invoiced after the kickoff call

We talk with the people who do the work at your firm, map how it flows, and hand you a written plan ranked by hours saved.

  • 1–5 people$500
  • 6–14$750
  • 15–19$1,250
  • 20–29$1,500

Build the first workflow

Typically $2,000–$3,500

Larger projects are priced in your plan. If your first project is $2,000 or more, your audit fee comes off the build price.

Keep it working

Ongoing support: 10% of your build cost a month, $500 minimum

We watch it, fix it and improve it as your firm changes.

You can stop after any step. The written plan is yours to keep, whoever builds it.

How we handle client financial data

  • Client data stays in your systems, such as your document portal and bookkeeping software.
  • Entries and messages can wait for staff approval before anything changes.
  • You decide what's kept and for how long.
  • We choose AI providers and settings that don't use your data to train their models.

What we won't automate

AI collects, sorts and drafts. Your team makes the calls.

Tax positions, advice and sign-off stay with your preparers and partners. They review every number before it goes anywhere.

What can AI do for an accounting firm?

AI can take over the collecting and sorting: sending clients document checklists, following up on missing items, renaming and filing uploads, reading statements and receipts, preparing engagement letters and routing IRS and state notices. Your preparers review the numbers.

Does it work with our tax and bookkeeping software?

Often, yes. We connect to tools like QuickBooks and your document portal where they allow it. The audit confirms what's possible with your exact setup before you pay for a build.

Will AI prepare tax returns?

No. We use AI to collect, sort and prepare information so your preparers start with a complete file. The return, the tax positions and the sign-off stay with your team.

When should we start, before or after tax season?

Ideally a few months before your busy season, so the first workflow is built and tested in time. The audit takes 1 to 2 weeks.

How much does it cost?

The audit is $500 for up to 5 people, $750 for 6 to 14, $1,250 for 15 to 19 and $1,500 for 20 to 29. Firms with 30 or more get a custom quote. First builds typically run $2,000 to $3,500.

Is our client financial data kept private?

Yes. Client data stays in your systems, access is limited to what each system needs, and we choose AI providers and settings that don't use your data to train their models.
