What an AI automation consultant does
An AI automation consultant studies how work moves through a firm, picks out the steps that software can do reliably, and builds the systems that do them. The useful work is often unglamorous: reading incoming email, sorting documents, re-typing data between systems, chasing people for missing information, and answering the same questions on the phone.
AI automation is two things working together. Automation moves data and triggers the next step the same way every time. AI handles the steps that need reading or judgment within clear rules: deciding what a document is, summarizing a file, or drafting a reply. Most of the value comes from combining them, with a person reviewing the parts that matter.
AI automation services for small professional firms
We build a few kinds of systems, often together:
- AI agents that do a whole job, like chasing missing documents, and ask a person only when they should.
- Document reading and file review that summarizes a long file before anyone opens it.
- Workflow automation and integrations that remove manual handoffs between the tools your team already uses, often built on n8n.
- AI phone and text assistants on Twilio and ElevenLabs for after-hours calls, booking and reminders.
- Python automation and Prefect data pipelines for data-heavy back-office work.
When no off-the-shelf tool fits and the process is worth it, we build custom software.
What this looks like in a real firm
At one insurance claims firm, a single AI agent requests the documents each claim still needs, checks what comes back, and writes back with what is still missing. It gives the team 10–20 hours back a week. The same firm uses AI to summarize each case file before review, and a new-client form that sets up the case on its own. Read the story.
Every system we build follows the same rules:
- Preview before live. A new system starts in a preview mode, where AI-drafted messages wait for staff approval until go-live.
- A person for the hard cases. Anything the AI can't handle confidently goes to a person.
- Your accounts, your data. Systems run in your own Microsoft 365 or Google Workspace, with only the access each job needs.
- Alerts on failure. Problems raise an alert instead of failing silently.
What to look for in an AI automation consultant
Look for a consultant who can show a system running in production today, tells you what not to automate, and gives you a written scope and price before any build. With us, you talk to the person who builds it: Aramis M. Figueroa, backed by a team of AI agents we built in-house.
Where AI automation is not worth it
We tell a firm when automation isn't the answer, before it spends money finding out. Common cases:
- Low volume. A task done a few times a month rarely repays a build. A checklist may serve you better.
- Pure judgment. If every instance needs an expert's decision, AI can prepare the work but can't do it.
- An unsettled process. Automating a process that changes every week locks in this week's version.
- A built-in feature already exists. We check your current tools first. Read custom automation vs. off-the-shelf software for how we make that call.
How an AI automation engagement works
Every project runs the same way:
- A free 20-minute call. We talk through how work moves through your firm and tell you plainly whether AI is a fit.
- AI workflow audit. One to two weeks, priced by firm size from $500. You book online and pay by invoice after the kickoff call. You get a written plan ranked by hours saved, with a price for each piece.
- Build. First workflows typically run $2,000 to $3,500, built inside your tools and tested on your own cases before go-live.
- Run. Monitoring, fixes and changes as your firm evolves: 10% of your build cost per month, $500 minimum.
