n8n and Zapier both automate the handoffs between a law firm's tools, but they suit different firms. Zapier is a hosted service with a very large catalog of prebuilt app connections, and it is usually the faster choice for simple, low-volume handoffs. n8n can be self-hosted, lets you add code steps anywhere in a workflow, and bills cloud plans per workflow execution, which makes it the stronger fit for firms that care where client data goes or that run long, multi-step workflows.
This comparison is written by Atlas Programming Solutions, and we offer n8n workflow development, so weigh our view accordingly. We have tried to say plainly where Zapier wins.
n8n vs. Zapier at a glance
| Zapier | n8n | |
|---|---|---|
| Where it runs | Zapier's cloud only | n8n's cloud, or self-hosted on your server |
| Pricing unit | Tasks: each successful action step | Workflow executions on cloud plans |
| Prebuilt app connections | A very large catalog | Smaller built-in list, plus an HTTP Request node for any API |
| Custom code | Code by Zapier steps in JavaScript or Python (paid plans) | Code nodes in JavaScript or Python |
| Error handling | Run history and error notifications | Run history, plus error workflows you design |
| Setup effort | Low: sign up and connect apps | Low on cloud; higher when self-hosting |
| Best at | Simple, popular app-to-app handoffs | Long workflows, custom logic, control over data |

Hosting and client confidentiality
Hosting is the difference that matters most to a law firm. A law firm's duty of confidentiality applies to every system that touches client information, including an automation tool.
Zapier runs only in Zapier's cloud. Every document name, email body, or case field a Zap handles passes through Zapier's systems. For many firms that is acceptable after reviewing Zapier's security and data terms, the same way they review any cloud vendor.
n8n can run on a server your firm controls. With self-hosted n8n, workflow data stays on infrastructure you choose, and n8n stores the credentials for each connected system encrypted. The trade-off is real: someone has to update that server, back it up, and secure it. If nobody will, n8n's own cloud is the safer choice.
Pricing models: tasks vs. executions
Zapier and n8n count usage differently, and the difference grows with workflow length.
Zapier bills by tasks. Each action step that runs successfully counts as a task; the trigger does not. A Zap with eight action steps that runs 100 times uses far more tasks than a Zap with two action steps that runs 100 times.
n8n's cloud plans bill by executions: one run of a workflow counts once, however many steps it has. Self-hosted n8n has no per-execution fee for the community edition, though you pay for the server and the time to run it.
For a firm with a few short automations, the pricing difference may not matter. For a firm sending a request, checking replies, filing documents, and posting a summary on every new matter, long workflows on a task-based plan add up.
Integrations with Clio, MyCase, and Microsoft 365
Zapier's catalog of prebuilt connections is larger than n8n's built-in list, and that is a real advantage. If both of your apps have a Zapier integration that includes the exact trigger and action you need, Zapier is often the quickest path.
Check the details before you commit, in either tool. A practice-management integration may offer "new matter" as a trigger but not the custom fields your firm relies on. When the prebuilt connection falls short, n8n's HTTP Request node can call any REST API directly, including the Clio and MyCase developer APIs, and its Webhook node can receive their events. Zapier offers webhooks as well. We use the same approach in our Clio and MyCase integrations.
Code, logic, and error handling
Both tools allow code. Zapier has Code by Zapier steps, and n8n has Code nodes in JavaScript or Python. Code by Zapier and Webhooks by Zapier are available on paid plans. The difference is how far each tool expects you to go: n8n is built for workflows with branching, loops, sub-workflows, and custom logic, while Zapier is at its best when each Zap stays short.
Error handling matters more than most firms expect. An automation that fails silently is worse than no automation, because staff assume the work happened. Zapier records each run and can notify you of errors. n8n lets you assign an error workflow, started by its Error Trigger node, that runs whenever another workflow fails, so you can send an alert with the exact failed step or retry it. The n8n docs cover error workflows and hosting options in detail.
n8n vs. Zapier: when to choose Zapier
- You need a few simple handoffs between popular apps.
- Both apps have Zapier integrations with the exact triggers and actions you need.
- Nobody at your firm will maintain a server.
- Volume is low enough that task-based pricing stays modest.
- You want staff to build and adjust automations themselves.
When to choose n8n
- Client data should stay on infrastructure your firm controls.
- Your workflows are long, with many steps on every run.
- You need custom logic, such as checking documents against a per-party checklist.
- You need to call APIs that have no prebuilt connection.
- You want error workflows that alert someone with the exact failed step.
When to choose neither
Some work is too complex for either tool. Classifying documents against per-party checklists and following up on a schedule, for example, is often more than a visual workflow should carry. That logic is usually easier to test and maintain when it is written in Python and run on a workflow platform. If a workflow has turned into a large tangle of branches, it may belong in code. And sometimes the right answer is a feature your practice-management system already has. Read custom automation vs. off-the-shelf software for how to make that call.
